The Serenity Risk Management module allows organizations to automate recurring risk assessments across multiple entities or locations using risk assessment schedules.

This functionality is ideal for organizations that conduct periodic reviews to ensure hazards, controls, and risks are being evaluated consistently over time — such as annual process hazard analyses, quarterly equipment risk assessments, or recurring facility hazard reviews.

Who Can Schedule Risk Assessments?

Only users who are the template owner or have the Template Editor role are authorized to create and manage risk assessment schedules.  This ensures that recurring assessments are established and maintained by qualified personnel who understand the scope and impact of automated scheduling.

Why Use Scheduling?

Scheduling enables teams to ensure that risk assessments are performed consistently and on time across a wide range of organizational assets or operations.  By setting up schedules, you can:

  • Ensure compliance with corporate or regulatory requirements for recurring risk reviews.

  • Automate assessments for key areas such as:

    • Establishments (e.g., facility-wide hazard assessments)

    • Processes (e.g., annual process safety reviews)

    • Zones or Work Areas (e.g., quarterly area risk evaluations)

    • Equipment or Assets (e.g., periodic equipment safety reviews)

  • Reduce administrative effort while maintaining complete visibility into scheduled and completed assessments.

Once a schedule is active, Serenity will automatically generate new risk assessment tasks based on the specified frequency, ensuring no critical review is missed.


⚠️ Warning: Schedules can create a large number of assessment tasks at once — especially when multiple entity types or broad filters are applied.  Always review your entity selection carefully before submitting a new schedule to avoid generating unnecessary workload or assignments.


Scheduling Risk Assessments

The scheduling interface guides you through a step-by-step process similar to other Serenity scheduling tools.

1. Frequency

Define how often the risk assessment should recur.
You can specify:

  • The recurrence interval (e.g., every 1 year or every 3 months)

  • The start date for the first occurrence

  • Optional due date logic (for example, always due on the last day of the quarter)

This ensures your risk assessment program remains continuous and predictable.

2. Entity Types

Choose which entity types to apply the schedule to.  Depending on your organization’s configuration, available entity types may include:

  • Establishments

  • Zones

  • Processes

  • Equipment / Assets

  • Organizational Units

Selecting the appropriate entity type ensures the schedule targets the correct operational scope.

3. Filters

Determine how to filter the selected entity types. You can choose from several options:

  • All active entities – Apply the schedule across all currently active entities of the selected type.

  • Manually selected entities – Choose specific entities from a list (useful for high-priority sites or pilot programs).

  • Advanced filters – Define filter conditions to automatically identify which entities are in scope based on attributes such as location, risk category, or department.

This flexibility allows administrators to create targeted or organization-wide assessment programs.

4. Entities

Preview the entities that meet your criteria before activating the schedule.
This step provides a confirmation list of where recurring assessments will be generated, allowing you to double-check scope and frequency settings.

5. Assignment

Choose how newly created risk assessment tasks will be assigned. You can assign them to individuals or groups in several ways:

  • Assign to a user – All generated assessments go to a specific user.

  • Assign by entity record – Each task is assigned to the user listed in a designated field on the entity (e.g., Managed By).

  • Assign to a group – Assign all tasks to a specific group.

  • Assign by group field on the entity record – Each task is assigned based on the group associated with that entity (e.g., EHS Group).

This flexibility allows assessments to be automatically directed to the right responsible personnel or teams.


Best Practices

  • Start small. Begin with a limited number of entities to validate the scheduling configuration before expanding to broader scopes.

  • Use advanced filters wisely. Filtering allows precision but should be reviewed periodically to ensure entities still meet criteria.

  • Monitor task generation. After initial schedule activation, verify that new assessment tasks are created and assigned correctly.

  • Review schedules annually. Update frequency, entities, or assignment logic as your operations evolve.
